1. Introduction
The safety and well-being of care home residents, Occupational Therapists, and care home staff are paramount during virtual consultations facilitated by Care Home OT. This Safety and Risk Management Policy outlines the procedures and guidelines to ensure the safety, security, and effective delivery of Occupational Therapy services via virtual consultations while adhering to relevant UK laws and regulations.
2. Scope
This policy applies to all Occupational Therapists, care home staff, and residents participating in virtual consultations conducted by Care Home OT for the provision of Occupational Therapy services in care homes. It encompasses risk assessment, mitigation strategies, and emergency procedures specific to virtual consultation settings.

3. Risk Assessment
- Pre-Consultation Assessment: Occupational Therapists will conduct a pre-consultation risk assessment to identify potential safety hazards and risks associated with the virtual consultation environment. This assessment may include evaluating the resident's physical environment, cognitive status, and communication abilities to ensure a safe and effective consultation.
- Technology Assessment: Occupational Therapists will assess the reliability and suitability of the technology and communication platforms used for virtual consultations to minimise the risk of technical issues or interruptions during the consultation.

4. Mitigation Strategies
- Environment Preparation: Care home staff will be responsible for ensuring that the virtual consultation environment is conducive to a safe and effective interaction. This may include minimising distractions, ensuring adequate lighting, and optimising camera angles for optimal visibility.
- Assistance and Supervision: Care home staff may provide assistance or supervision to residents during virtual consultations, particularly for those with mobility or cognitive impairments. Occupational Therapists will collaborate with care home staff to facilitate resident participation and safety throughout the consultation.

5. Emergency Procedures
- Emergency Response Plan: Care Home OT will establish clear procedures and protocols for responding to emergencies or crises that may arise during virtual consultations. This plan will outline steps for identifying emergencies, contacting appropriate authorities, and providing necessary assistance to ensure the safety and well-being of all participants.
- Communication Protocols: Occupational Therapists and care home staff will establish communication protocols for addressing emergencies or technical issues that may disrupt the virtual consultation. This may include alternative communication methods, such as phone calls or text messages, in the event of a sudden interruption.
6. Informed Consent
- Risk Disclosure: Prior to participating in virtual consultations, residents and their legal representatives will be informed of any potential risks or limitations associated with remote service delivery. 8. Training and Education

- Continuous Improvement: Care Home OT will conduct regular reviews and evaluations of safety-related incidents and risk management practices to identify areas for improvement and implement corrective actions. Feedback from participants and stakeholders will be used to inform ongoing safety initiatives and enhance the quality of virtual consultation services.
10. Review and Revision
This Safety and Risk Management Policy will be reviewed and updated periodically to reflect changes in technology, regulatory requirements, and best practices in virtual consultation safety and risk management.
11. Compliance and Enforcement
Failure to comply with this policy may result in disciplinary action, up to and including termination of employment or contractual relationship with Care Home OT.
